Email Setup & Issues
Corporate Email Setup Guide for Outlook, iPhone, and Android

Which Protocol Should I Choose? (IMAP vs POP3)

  • IMAP (Recommended): Your emails are stored on the server. An email read on the computer appears as "read" on the phone as well. It is synchronized.
  • POP3: Emails are downloaded to the device and deleted from the server. You may experience backup issues.

General Server Settings

Settings valid for all devices (Outlook, Thunderbird, Apple Mail, Samsung Mail):

Usernamemail@yoursite.com (Full address must be written)
PasswordThe email password you created
Incoming Servermail.yourdomain.com
Incoming Port (IMAP)143 (No encryption) or 993 (SSL/TLS)
Outgoing Servermail.yourdomain.com
Outgoing Port (SMTP)587

Critical Error in Outlook Setup

Can't send email?
Go to "More Settings" > "Outgoing Server" tab in Outlook settings and make sure to check the box "My outgoing server (SMTP) requires authentication".

iPhone / iOS Setup

  1. Go to Settings > Mail > Accounts > Add Account > Other > Add Mail Account.
  2. Fill in the information according to the table above.
  3. If you get a "Cannot Verify Server Identity" error, click "Details" and select Trust.
How do I access Webmail (Email via Browser)?

To check your emails without installing a program, type this into your browser:

webmail.yoursite.com

(Replace yoursite.com with your own domain name). You can log in with your email address and password on the screen that opens.

How to forward incoming emails to another address?

To send a copy of messages arriving at your mail account to a different address like Gmail or Outlook:

1. Click on the "Mail" tab in Plesk panel and select the email address you want to process.

2. Click on the "Forwarding" tab at the top.

3. Check the "Switch on mail forwarding" box, type the destination email address, and save.

How to block spam emails? (SpamAssassin)

You can enable the server-based filter to block junk mail:

Click on the relevant email address in Plesk panel and switch to the "Spam Filter" tab. Check the "Switch on spam filtering for this email address" box. Adjust the sensitivity setting (usually 7 is recommended) and click the "Apply" button.

I am sending email but it is not going (Getting error)

The 3 most common reasons for this problem are:

  • SMTP Authentication: The "Outgoing server requires authentication" option in the mail program settings is off. You must turn it on.
  • Port Error: You should make the outgoing port 587 instead of 25.
  • IP Block: If you entered the wrong password too many times, the server may have temporarily blocked your IP. Try changing your IP by restarting your modem.
Database & Backup
How to take and upload Database (MySQL) backup?

1. Click on the "Databases" tab in the Plesk panel.

2. Download the backup to your computer (.sql file) by clicking the "Export Dump" button on the relevant database.

Security & DDoS Protection
Why do I see the "Traffic Control" page when entering my site?

This is not an error, it indicates that the HostedFly Smart Protection Shield has been activated. If our system detects an unusually high volume of requests (very fast page refreshing, bot behavior, etc.) from your IP address, it temporarily puts you in the "Waiting Room" to protect server performance.

Solution: Just wait 10 seconds. Your browser will be verified and you will access the site automatically. If you see this screen constantly, try changing your IP by restarting your modem.

Why Is Your Site Not Opening? 403 Forbidden, IP Ban and Firewall

1. Traffic Control (Waiting Room)

If you see the "Traffic Control" page when entering our site, don't worry. HostedFly Smart Protection Shield has detected unusually fast requests from your IP address. Wait 10 seconds and the system will verify your browser and open the site.

2. 403 Forbidden Error

OWASP ModSecurity (WAF) is active on our servers. If you get this error while filling out a form or entering a URL, there may be characters resembling "SQL code" (drop, select, union etc.) in the text you entered.

Solution: If you receive this error, please create a support ticket, we can relax the relevant security rule for your site.

3. IP Address Banned

If you enter your Mail or FTP password incorrectly 5-10 times in a row, the server will block you for 1 hour thinking you are performing a "Brute Force Attack".

Quick Fix: Restart your modem to change your IP address. Your access to the site will be restored.
Why is my IP address blocked? (I can't access the site at all)

Autonomous IPS (Intrusion Prevention System) is running on our servers. If:

  • You entered too many incorrect passwords (Mail/FTP/WP) in a short time,
  • You sent aggressive requests despite constant "Traffic Control" warnings,

The system blocks your IP address at the firewall level for 1 hour. You can get a new IP by restarting your modem or wait for the time to expire.

Click on the "Logs" icon on your site's card in the Plesk panel. Lines marked in red indicate the file path and line number of the error.

WordPress & Software
WordPress "Memory Limit" and "Upload Size" Errors

What is the Problem?

If you get "The uploaded file exceeds the upload_max_filesize" error while uploading a large theme (.zip) or if there is an "Allowed memory size exhausted" warning on your site, you should increase the limits.

Step by Step Solution

1

Enter PHP Settings

Click on the "PHP Settings" menu under your site in the Plesk panel.

2

Increase Values

Find the following values and set them to recommended settings:

  • memory_limit: Set to 256M or 512M.
  • post_max_size: Set to 128M.
  • upload_max_filesize: Set to 128M.
3

Save

Finish the process by clicking the "Apply" or "OK" button at the bottom of the page.

"Upload Max Filesize" error while uploading file

If you get this error while uploading a large theme or plugin:

Increase upload_max_filesize and post_max_size values in Plesk > PHP Settings (E.g.: make them 64M or 128M).

Forgot/Reset WordPress admin password

If you cannot access the WP Admin panel:

Click on the "WordPress" tab in the right menu in your Plesk panel. You will see a change password option next to the "Setup" or "Login" button on the relevant site's card. You can change the password from here without entering the database.

Fixing WordPress 500 Internal Server Error and White Screen Issue
"500 Error" is the server's way of saying "Something is wrong but I can't say exactly what". Try the following steps in order for a solution.

Method 1: Resetting .htaccess File

Usually a broken redirect code causes this error.

  1. Go to Plesk > File Manager > httpdocs folder.
  2. Find the .htaccess file.
  3. Change its name to .htaccess_backup.
  4. Check your site. If it opens, go to WordPress Admin > Settings > Permalinks page and click the "Save" button without changing anything (New file will be created).

Method 2: Changing PHP Version

The theme or plugin you use may be incompatible with the PHP version on the server.

  • Enter Plesk > PHP Settings.
  • Change the PHP version (E.g.: if 8.2, make it 7.4, or vice versa).
  • Refresh the page and check if the error is gone.

Method 3: Disabling Plugins

If it is still not resolved, there is a plugin conflict. Go to the wp-content folder from the file manager and change the name of the plugins folder to plugins_old. If the site opens, the problem is with the plugins.

WordPress Site Speed Up: Nginx Cache and Gzip Settings

Why Nginx?

HostedFly uses Nginx architecture, which is much more performant than standard Apache servers. By activating this feature, you can speed up your site 2-3 times.

1. Enabling Nginx Cache

Enter the Apache and nginx Settings menu in your Plesk panel. Check the "Enable nginx caching" box at the top of the page and click Apply.

2. Activating Gzip Compression

To reduce the size of pages and increase the PageSpeed score, paste the following code into the "Additional nginx directives" box at the bottom of the same menu (Apache and nginx Settings):

gzip on;
gzip_disable "msie6";
gzip_vary on;
gzip_proxied any;
gzip_comp_level 6;
gzip_types text/plain text/css application/json application/javascript text/xml application/xml application/xml+rss text/javascript;

3. Image Optimization (WebP)

The biggest factor slowing down your site is images. Convert all your images to WebP format automatically by installing the "Converter for Media" or "LiteSpeed Cache" plugin from your WordPress panel. This process reduces file size by 50%.

Domain & DNS
What are your Nameserver (NS) addresses?

You must use the following NS addresses to point your domain name to HostedFly servers:

ns1.hostedfly.com
ns2.hostedfly.com

DNS propagation can take between 2 to 24 hours.

What are DNS Records? Adding A, CNAME, MX and TXT Records

Nameserver (NS) Addresses

To host your domain at HostedFly, you must enter the following NS addresses from your domain panel:

ns1.hostedfly.com
ns2.hostedfly.com

How to Add Custom DNS Record?

For Google Workspace, Yandex Mail or verification processes:

  1. Follow Plesk Panel > Hosting and DNS > DNS Settings path.
  2. Click the Add Record button.
  3. Record Type: Select the type you will add (TXT, CNAME, MX etc.).
  4. Enter values and press "OK".
Very Important: Settings will not be valid if you do not click the "UPDATE" button on the yellow bar that appears at the top of the page after performing the operation.
How to create a Subdomain?

1. Click the "Add Subdomain" button at the top of the Plesk panel.

2. Type the desired prefix (e.g., blog, test, crm).

3. Say "OK". The system will automatically create folders and DNS settings for you.

SEO & Site Performance
Does hosting speed affect SEO ranking?

Absolutely. With the "Core Web Vitals" update, Google made site opening speed (LCP) an official ranking factor. NVMe disks and Nginx architecture used in HostedFly ensure your site is more valuable in Google's eyes.

How to redirect www to non-www address (301)?

In Google's eyes, yoursite.com and www.yoursite.com are two different sites. To not divide SEO power:

  1. Click on "Hosting Settings" in Plesk Panel.
  2. Make your selection from the "Preferred domain" section.
  3. When you say "Apply", the system will automatically create a 301 redirect.
How to enable Gzip Compression (PageSpeed Score)?

To increase your Google PageSpeed Insights score:

1. Go to "Apache and nginx Settings" in Plesk panel.

2. Paste the following code into the "Additional nginx directives" box and save:

gzip on;
gzip_types text/plain text/css application/json application/javascript text/xml;

How to create Sitemap and submit to Google?

A sitemap is essential for Google to discover your pages faster:

  1. If you are using WordPress, Yoast SEO or RankMath plugin automatically creates sitemap.xml.
  2. Check the address yoursite.com/sitemap_index.xml in the browser.
  3. If the link works, enter your Google Search Console panel, click "Sitemaps" from the left menu, paste the address and press the "Submit" button.
Why is optimizing images (WebP) important?

Large sized images are the factor that slows down site opening the most. Google wants images to be in the new generation format WebP and compressed.

Solution: By installing "LiteSpeed Cache" or "Converter for Media" plugin on your WordPress site, you can convert all existing JPG/PNG images to 50% smaller size WebP format with a single click.

Should I use CDN (Cloudflare)?

CDN (Content Delivery Network) caches your site's static files on different servers around the world. When a visitor enters the site, data is loaded from the CDN server closest to the visitor, not from the HostedFly server.

This process increases site speed and reflects positively on your SEO score. The free Cloudflare plan is sufficient for beginner and mid-level sites.
